Post Implementation Review of the Updated Performance Management Process
Martin Sibley presented the Post Implementation Review (PIR) covering the first year of the updated performance management process, introduced in 2006-07, and the start of year 2007-08. The report identified the key successes of the updated process and the areas for further improvement – these were covered in a number of recommendations, and the Board agreed these should be implemented.
Data Security
Paul Sanderson provided an update on data security and advised that all VOA staff would be required to attend a workshop in the period between April and June to underline the importance of data security and to discuss the impact on their particular area of work.
Strategic Risk Register
Sue Townsend provided the latest draft of the Strategic Risk Register, which had been revised following the workshop on risk, held at the end of January.
VOA Audit Committee Report
Dawn Johnson provided the Management Board with a report of the Audit Committee meeting held on 21 February 2008. The Management Board noted the report and had no further comments.
Proposal for Scanned Hardcopy Records
Paul Sanderson provided an update on the progress of the hardcopy records project. Paul also advised that preliminary testing would be carried out in the next few weeks in the VOA’s Plymouth office, which would provide essential information for the next stages of the project. The VOA’s IT partner has now been commissioned to investigate possible Electronic Document and Records Management (EDRM) solutions for the Agency.
Agency Performance
This item was a discussion on performance and in particular the key performance indicators where the outlook was not at green.
Steve Hartnell provided an overview of performance against the KPI and indicators for HR and highlighted that both long and short term sickness absence showed an improvement.
David Park told the meeting that the results from the customer satisfaction surveys continued to be encouraging. The results for elapsed time on council tax reports (England) continued to be closely monitored. All other targets continued to go well.
Steve Prendergast advised the meeting that DVS performance, against many of its targets continued to improve, but the status remained as reported last month.
Sue Townsend provided an overview of the financial position for the Agency.
