This Circular provides further guidance on dealing with written enquiries.
After registering on TROP enquiries must be sifted and those that can be replied to without further investigation must be dealt with within the 20 day time limit using, where appropriate, standard paragraphs as attached to Wales Council Tax Revaluation Circular No.30.
Before passing query to Band 5 to undertake further investigation, Band 7 must issue an interim reply within 15 days of receipt of enquiry. A standard letter for this purpose is attached to this Circular. A copy of this letter must be filed with the enquiry and retained for audit purposes.
When the enquiry is resolved then the date must be entered in Full Reply column of TROP.
Helpdesk supervisors are reminded that they must monitor any cases which have received interim replies against the 60 and 90 day response targets.
Any queries on this Circular should be made to
28 September 2004

Enquiry Number: *
Address: *
Thank you for your recent letter of enquiry about the proposed 2005 Council Tax Banding for the above address.
I have passed your enquiry to a caseworker for further investigation. An inspection may be necessary to resolve your query and if this is the case an appointment will be arranged with you.
There has been a large response to the issue of Council Tax Notifications and, to ensure fairness, they are being dealt with in the order they were received. I am aiming to deal with all enquiries received up to 31 October 2004 by 31 January 2005.
I will write to you again to let you know the outcome of your enquiry. In the meantime, should you need to contact this office, please quote the enquiry number shown above and also the address.
Yours faithfully
