DUAL MAINTENANCE PROCEDURES

This circular gives details of the dual maintenance procedures to be adopted for the forthcoming revaluation.

1. CR10’s (Inactivated Reports)

Lists of logged reports should be produced on a monthly basis. Where numbers are small, it may be more
efficient run the lists by Billing Authority and not Community. Two further columns should be added to the
list:

Review (Y/N) Amended Band


After updating survey and dwelling house code details maintenance of the 2005 list should be undertaken as
follows:

a) For those communities where the allocation of 2005 bands has not yet been undertaken, maintenance caseworkers should insert N in column headed Review and no further action is required other than to
update dwelling house code details on COVO.

b) For properties that have been allocated a 2005 Band insert Y in column headed Review. Maintenance
caseworkers should then review the 2005 band and either enter the amended band in appropriate
column on lists or n/c if there is no change to the 2005 Band.

On completion of above, lists should be passed to Line Manager for QC and then to support staff for input of
dwelling house codes and amendment of 2005 band where necessary.

Reports for immediate action

On production of working dockets for these cases (includes activated logged reports) a sticker (or rubber stamp)
should be attached to the document. Suggested examples for these are shown below

On completion of maintenance procedures for 1993 list then maintenance caseworkers should proceed to
maintain 2005 list as detailed in 1.a) and b) above. Support staff must first clear the 1993 list report and then
update the 2005 band as appropriate.

Appeal settlement

Working dockets for appeals should have a sticker (rubber stamp) attached. Caseworkers must ensure they
review 2005 bands as above before passing cases to support staff for clearance of case and amendment of 2005
band where appropriate.
